Office Coordinator

Location: Midtown Manhattan

we’ll need you to

  • Oversee office administrative functions such as screening calls, filing, copy/faxing, mailings & maintaining supplies needed to run the organization
  • Maintain front desk reception, greeting all clients and guests as they arrive and directing them to their appropriate location
  • Assist in maintaining meeting calendar, scheduling / organizing meetings, including team and client events
  • Maintain building / vendor relationships, monitoring the office environment for any additional needs to ensure the work setting is running well
  • Ensure reception & kitchen pantry are clean and in the proper condition for staff, clients & guests
  • Sort mail, invoicing and other materials and facilitate as necessary
  • Work with Human Resources on scheduling interviews, meetings, recruiting events, and ad hoc projects
  • Assist Human Resources with new hire onboarding
  • Participate in special department projects
  • Coordinate company events, including budget requirements, venue selection, transportation, food and drink options, and entertainment
  • Assist the Sales & Marketing Team with preparation for events and conferences, inventory SD give-aways, and ad hoc projects
  • Organize breakfast, lunch and/or dinner events as needed
